Order Process

Introduction

This document explains what happens when a customer places an order on your web site, from order to product delivery.

Step 1:  Customer orders on your site

The customer adds a product to their shopping cart, and then continues through the checkout process until they click the Purchase button.

Next, your web site sends you a notification e-mail that someone has placed an order.  This e-mail goes to the e-mail addresses in the Contact Us page in your Site Manager (Appearance -> Store Profile -> Contact Us).  Check the E-mail address and Order E-mail address locations.

This e-mail comes from ecommorder@emerchantclub.com

Make sure this e-mail address is added to your e-mail account’s “Safe Sender’s List.”

The e-mail lists instructions for placing the order.

Step 2:  Confirm payment on order

IMPORTANT:  Before taking any steps to place the order, insure that you have received payment for the order.

Sign in to your site manager; click the Orders link under the Sales column.

Next, click All Orders.

Next, click the Order ID of the order you are checking on.

If you have a gateway account and merchant account linked to your web site, and your customer uses a credit card, this screen should show an Auth Code and a Trans ID for the order.  As long as the credit card order has an Auth Code and Trans ID, then the money is being transferred to you through your merchant account.

If you do not have a gateway account but you do have a merchant account, your web site can be configured to accept a credit card payment, but is unable to process the financial transaction on its own.  When a customer uses a credit card on this site, the Auth Code will always say FAITH.

When a transaction occurs with PayPal, the web site will not show an Auth Code or Trans ID.

Example purchases

A web site which accepts credit cards but does not have a gateway.

A purchase paid for with PayPal.

A purchase made from a web site with a gateway and a merchant account.

If the transaction comes through your merchant account, then your merchant account company should deposit the money in to the checking account you have on file with that company.

If the customer chooses to pay with PayPal, then PayPal will send you an e-mail with the payment information.  You may need to have PayPal transfer the money to your account.

Your web site may transfer the customer to PayPal’s web site to make the payment, and the customer does not complete the payment.  In this case, your web site does not know whether or not the customer completed the payment.  Always double-check with PayPal to make sure you received payment before you ship product to the customer.

Step 3:  Order the product from SMC

Finally, place the order using one of the following methods:

  1. Placing the order at www.smcorp.com
  2. Phoning the order in to Member Services 800-877-7621
  3. Faxing it to SMC 800-998-7623
  4. Forwarding the e-mail to ecommorder@emerchantclub.com
  5. Clicking the Submit Order button in Site Manager

Notes

Forwarding the e-mail / Using Submit Order

If you forward the email or use the Submit Order button you will also need to ensure the SMC Membership area of the Site Manager has your current credit card information. Otherwise, SMC will not place the order.

If you forward the e-mail or press the Submit Order button in your Site Manager, a 1-2 business day delay occurs before the order can be placed in to our system.

Electronic Funds Transfers

Please be advised that beginning Monday, July 3 all electronic funds transfers (check or savings account payments) to SMC will be subject to a 7 calendar day hold to ensure the bank payment clears.

What does this mean?

This means that 7 calendar days AFTER the date of purchase is the date the order will be released.  For a merchandise order, the order will be “on hold” and not begin processing for 7 calendar days after the order is placed.

Therefore, the quickest way to get the order in to our system is to place the order on www.smcorp.com and pay using a credit/debit card.
